Privacy Policy
This Privacy Policy explains what personal information OTA Precision Consulting LLC ("VECTR", "we", "us") collects in connection with vectrshield.com and our VECTR Shield services, how we use it, and the choices you have. Our services are directed at businesses; most information we handle is business contact information.
1. Who we are
OTA Precision Consulting LLC, a Wyoming limited liability company, 75 E 3rd St, Sheridan, WY 82801, USA, operates VECTR Shield and is responsible for the personal information described in this policy. Contact: reports@vectrshield.com.
2. No cookies, no tracking on this website
vectrshield.com does not set cookies, does not use analytics, advertising pixels, session-replay tools or social-media plugins, and makes no requests to third-party servers from your browser. You can verify this in your browser's developer tools. Because we do not track visitors, there is nothing for a "Do Not Track" or Global Privacy Control signal to switch off; we treat such signals as an opt-out in any case.
Like any website, our hosting provider automatically processes technical data needed to deliver pages and protect the service — such as IP address, browser user agent, requested URL and time of request — in server logs.
3. Information we collect
Information you give us.
- Scan requests: the website domain and email address you enter in the scan form.
- Communications: your name, email address and the content of messages you send us, including replies to our emails.
- Call bookings: name, email address and website when you book a call.
- Clients: contact and billing details, information about your website setup, and the access credentials you provide so we can perform the work.
Information from payment processing. Payments are handled by Stripe. We receive confirmation of payment, the name, email and billing details you provide at checkout, and limited card information (such as card brand and last four digits). We do not receive or store full card numbers.
Information from other sources (business outreach). To contact businesses about findings on their websites, we collect business contact information — such as name, job title, business email address, company name, company website and professional profile URL — from commercial business-data providers and from publicly available sources such as company websites.
Scan results. Our scans record the network requests made by publicly accessible pages of a business website, plus related technical facts such as email-authentication (DMARC/SPF) records. Scans observe what a website does; they are not designed to collect personal information about that website's visitors.
Report and email interactions. Our findings reports are delivered through personal links. When such a link is opened, we record that the report was viewed so that we can follow up appropriately. Our email systems record deliveries, replies and opt-outs.
4. How we use information
- to run the scans you request and send you the results and follow-ups about them;
- to research businesses whose websites show findings and contact them about those findings;
- to respond to messages, schedule calls, and prepare quotes;
- to perform fix sprints and monitoring, including processing payments and sending service messages and alerts;
- to maintain records of opt-outs so that we honor them;
- to secure, maintain and improve our services, including aggregated or de-identified statistics that do not identify any person or website; and
- to comply with legal obligations, enforce our Terms of Service, and protect our rights.
We may use automated tools, including AI-based tools, to help draft messages and to sort incoming replies (for example, to recognize opt-out requests). We do not make decisions that produce legal or similarly significant effects about individuals based solely on automated processing.
5. How we share information
We share personal information only with service providers that process it on our behalf and under our instructions, in these categories:
- website hosting and content delivery;
- server and automation infrastructure;
- customer-relationship management, scheduling and database services;
- email infrastructure and email-sending services;
- payment processing (Stripe);
- business-data providers used for research;
- AI service providers used for drafting and classifying messages; and
- internal communication tools used by our team.
We may also disclose information if required by law or legal process, to protect the rights, property or safety of us or others, or as part of a merger, acquisition or sale of our business, in which case this policy continues to apply to the information transferred. A current list of our service providers is available on request.
6. No sale, no targeted advertising
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising. We do not run advertising on our website.
7. Business outreach and opting out
If we contacted you about your company's website, we did so because the finding concerns a business you are associated with. Every outreach email identifies us, includes our postal address, and offers a working way to opt out. If you opt out — by replying "stop", using the opt-out option in the email, or writing to reports@vectrshield.com — we stop contacting you and keep only the minimum information needed to make sure you are not contacted again.
8. Retention
We keep personal information only as long as needed for the purposes described above:
- Outreach and scan-request data of people who do not become clients: up to 24 months after our last interaction, unless you ask us to delete it sooner.
- Opt-out records: for as long as needed to honor your opt-out.
- Client records: for the duration of the relationship and afterwards as long as required for accounting, tax and legal purposes.
- Access credentials: deleted from our systems at the end of the engagement.
- Server logs: according to our hosting provider's standard retention.
9. Security
We use reasonable technical and organizational measures to protect personal information, including encrypted connections, restricted access, and dedicated credentials for our systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. International processing
We are a U.S. company. Our service providers process information in the United States and in the European Union (Germany), and members of our team work remotely, including from outside the United States. By using our services, you understand that your information may be processed in these countries, which may have data-protection rules different from those in your location.
11. Your rights and choices
You may ask us to:
- tell you what personal information we hold about you and provide a copy;
- correct inaccurate information;
- delete your information (subject to legal retention obligations and keeping a minimal opt-out record); and
- stop contacting you.
Depending on where you live — for example in California or another U.S. state with a comprehensive privacy law — you may have these rights by law. We honor them for everyone. To make a request, email reports@vectrshield.com. We may need to verify your identity before acting on a request, and we respond within 45 days. You may use an authorized agent, who must provide proof of authorization. We will not discriminate against you for exercising your rights.
12. Children
Our website and services are directed at businesses and are not intended for children under 16. We do not knowingly collect personal information from children.
13. Changes to this policy
We may update this policy from time to time. The current version is always available at vectrshield.com/privacy with its effective date. If we make material changes, we will notify our clients by email.
